FAQs

• What template should I be using to upload my leads?
  • There is a template available when you are about to create a campaign that is hyperlinked titled, "Download example file". However, you do not need to worry about using a template anymore!
    
    Prop Ai allows makes it easier now to upload your leads. Once you upload your list, you can then select your data by assigning them the headers needed to run a campaign.
    
    Reference previous recordings for additional assistance.
• What does the ‘Retry’ campaign checkbox do? What is the difference between using the 'Retry' checkbox and clicking ‘Run campaign’ a second time? 
  • Retry campaign calls prospects who have never been dialed. Uncheck this box to also redial prospects who haven't answered the phone.
  • Use the ‘Retry’ check box after you’ve run a campaign that got cut off by a daily or monthly limit. That tells Jenn to continue making calls only to those phone numbers she hasn't got a chance to try yet. Otherwise, just use Run Campaign.
• What is "The Soft Set" Campaign?
  • The philosophy behind "Soft Set" is to keep it super simple. This script doesn't ask a lot of questions or delve into property details. Instead, it gets straight to the point, taking less than a minute to get through the call. Perfect for those calling vacant land leads.
• Can I schedule calls?
  •  You are not able to schedule calls at this time.
• Can I modify the scripts?
  • The scripts are not able to be edited. The best way to edit the outcome of the script is to be very specific in the "Advice for Ai" section and over time Jenn will adapt. Use the Community Drive Scripts to edit or add your own scripts that work for you.
• How do we make Jenn refer to specific information (like customer’s name, address, company name, etc.)?
  • AI's first name:{{AGENT_NAME}}
    Follow up caller: {{follow_up_caller}}
    Follow up company: {{company_name}}
    Prospect's first name: {{name}}
    Prospect's address: {{address}}
• Why didn’t Jenn call all the prospects I uploaded?
  • We don't dial numbers on the Do Not Call registry, so your dial total will usually be much smaller than your uploaded list. Each number we block shows up as 'Requested Not to Call' under campaign status.

• What do I do if we are not seeing call counts track correctly?
  • This is a common error with leads with no address so make sure you are seeing addresses in your leads in the app.
• Why isn’t Jenn’s test call going through to my phone number?
  • Try these troubleshooting steps:
  • If a campaign call does not go through to your own number:
    *Verify if you are on the Do Not Call registry, at https://www.donotcall.gov/
  • If a test call does not go through to your number:
    *For iPhone, go to Settings > Phone > Call Blocking & Identification, then turn off 'Business Call Identification.
    *Try closing out your web browser and refreshing.

• Why does Jenn sound slow in test calls?
  • Gen may sound slower in test calls because those force themselves upon the servers and jump the queue, whereas regular campaigns wait their turn.
  • If you ever suspect that latency affected your campaign, however, please export the campaign’s CSV and email to [email protected] so we can investigate and restore your call quota as needed.
• Why is Jenn slow to respond to a call?
  • This happens during high traffic time with calls on occasion –especially with test calls. The test calls force themselves upon the servers and jump the queue, which can actually cause worse latency compared to the regular campaigns that wait their turn.
  • That said, we have had latency on campaign calls before. If you suspect latency, please export your affected campaign’s CSV and email as an attachment to [email protected] so we can investigate and restore your call quota.
  • Jenn is also sometimes slower when she’s processing a lot of advice. The recommended limit as of right now is 1800 words.
• Why is Jenn getting stuck?
  • Jenn might delay if you have too much custom advice competing with her underlying script. We recommend using prompts without much modification since we know how well those perform. If you still want to input advice:
    
    1) Consult our user library for ideas
    2) Be clear
    3) Be concise (no more than 2000 words)
    4) Test, test, test
• Why is Jenn’s test call showing up as Spam likely or Scam likely?
  • We periodically retire phone numbers so that our calls don't get flagged as Spam.
  • You may sometimes still see a 'Spam' or 'Scam Likely' notice on test calls. Since Jenn uses local numbers to contact prospects, this won’t necessarily affect your other calls.
  • If your answered call rate is ever lower than 10% on a large sample, we may need to refresh our numbers. Contact [email protected] to let us know.
• Why is my call answered rate low?
  • The average call answer rate should be about 10%. If your answered call is much lower than this, try step one of this troubleshooter and reach out to us if that doesn't solve your issue.
• Error Message in RED BANNER: "You have hit your daily call limit".
  
  • As long as your balance trackers towards the bottom left reflect you have calls you should be able to even if the banner with error message is popping up. When you are running the campaigns, are you checking the 'retry campaign' checkbox? If you are not, try checking that box and 'run campaign'. 
  • Please let us know if the issue persists and if so please follow up with the URL and export the CSV of the related campaign to [email protected].
• Why does Jenn sound funny during calls?
  • If Jenn ever sounds like she shouldn't get behind the wheel of a car, please email us [email protected] ASAP! This is an issue with Prop that we need to fix immediately.
• Why did Jenn not call all the prospects I uploaded?

• Can I change the voice of Jenn (Prop Ai)?
  • At this time you cannot change the AI's voice but rather you can change her tone and inflection.
  • Tone:
    Use all caps for emphasis or enthusiasm. (e.g., "If caller says "yes," say: "I would LOVE to set up a brief follow-up call.")
    Add exclamation points for enthusiasm (e.g., "Hi, my name is {{agent_name}}!")
    Double question marks for optimism (e.g., "How does that sound??")
  • Speed:
    Add commas for small pauses: ("HI, are you the listing agent?")
    Add colons, exclamation points, or periods for bigger pauses ("I'm with {{company name}}: a small investing team looking to by a house in this area.").
    Add a section called General advice at the bottom and add tips. (For example: Do not interrupt the customer.)
  • Pronunciation:
    Use phonetic spellings and caps for words Gen doesn't pronounce correctly on test calls (e.g. Subject TOO, TEH-ris)
• Can Jenn Speak Spanish?
  • Jenn is not able to speak any other languages at this time.
• Can I purchase more calls?
  • At this time, this is not an option but it will be available soon!
• Does Prop Ai offer SMS campaigns?
  • At this time, we do not offer SMS campaings.
• Can I use Prop Ai to buy leads and skip trace?
  • We currently do not offer the feature to purchase leads or skip trace. We recommend to connect with your respective communities for skip tracing recommendations.
• What is GoHighLevel?

  • Here's how it works: calls are made in Prop, and then the relevant data such as transcripts and contact details is sent to GHL, where the follow-up process takes place. To ensure smooth integration, you'll need to complete the setup process with GHL first.
  • When you connect GHL with Prop.ai, you'll be able to track leads, conversions, and much more. This combination provides a solid foundation for your business, especially if you're just getting started. We believe that establishing a strong structure early on will set you up for long-term success!
• Why is Jenn ignoring my advice?
  • At this time, any advice you type in the Advice to AI section competes with the underlying advice from the script type you select. Here are some best practices:
    
    If...then
    Examples:
    If the customer responds to your opening question "Would that be you?" positively, implying that they are the owner of {{address}}:
    Say "So I’m an assistant with {{company name}} and we actually offer a no-cost consultation to help homeowners save their homes. Have you had a chance to explore all your options for saving your home from foreclosure?”
    
    If the customer responds to your question "Would that be you" by saying "no," implying that they are NOT the owner of {{address}}:
    Say "Got it! Do you think {{name}} would be open to a no cost follow-up call about 5 ways to avoid foreclosure?"
    
    Don't say... say... instead
    Examples:
    If the customer responds to your opening question "Would that be you?" by asking you a question (using words like "who" "calling" "ask" or "why"):
    Do NOT say that you are an investment firm looking to buy properties. Instead, say: “My teammate {{follow_up_caller}} and I are with {{company name}}: a small investing group. Our goal is to help homeowners understand they have options for saving their homes. Every time we preVENT a foreclosure we count that as a win! Even if the end result doesn't make us money.”
    
    Pause for response
    Examples:
    If the customer says “No” to your question about whether they would like to speak with {{follow_up_caller}}, OR the customer indicates that they do not want to talk again:
    Say “I understand. I’ve added you to our Do Not Call list. If you change your mind down the road, you can always reach us at {{type your call back number here}}. Thank you for your time, and have a great day!” Pause for response and then hang up the phone.
    
    If you ever feel confused about what to say, say
    Examples:
    If a customer ever responds to something you say in a way that leaves you unsure about how to follow up:
    Say in a friendly way: “Well, I guess, I don’t want to take up any more of your time today than I already have?? I’m sure you have a lot on your plate right now! But I would like to let my colleague {{follow_up_caller}} follow-up soon to make sure you have all the information you need. How does that sound?”
• What counts as a call used against my balance?
  • All calls dialed count as a call used from the monthly balance. Answered or unanswered.
• When does the Daily Call Limit reset?
  •  Calls are reset on a 24HR clock. It will soon change to reset at 12AM.
• Can I change the scripts?
  • Unfortunately, you cannot change the backend scripts, however in the "advice for ai" section you can add instructions to adapt the script to your liking. Also, it's important to run a test call before you run a campaign.
• Why is Gen's test call taking a long time to dial me?
  • Test calls can take longer during peak times. They should never take longer than 2 minutes to reach your phone number. Contact [email protected] if they do.

• What does it mean when I get a conversion?

  • A conversion means that a seller has confirmed an appointment. For each conversion you will get an email notification! Check out the transcripts from the campaign manager.

• What is the daily call limit?

  • 2,000 calls a day.

• What is the difference between "Called" and "Called - No Answer"?

  • This will divvy up 'Leads' 'Total calls' 'Answered calls' and 'Conversions.' Underneath it will say 'Called - Human answered' and 'Called - No answered.'

• When does the Daily Call Limit reset?

  • Calls are reset on a 24HR clock. It will soon change to reset at 12AM.

• How do we know how many calls we have left from our monthly balance?

  • Look at your balance trackers towards the bottom left of your account.

• Why are my conversion rates so low?

  • There can be lots of reasons, from poor Prop performance to choice of prompt, to quality of leads. Use this troubleshooter to identify and reach out if we can provide support.

• What does the 'New' call status mean?

  • New' campaign status means that Jenn has not yet tried to call that number. If your campaign still shows 'New' after running, your calls may have been blocked due to exceeding your daily quota or attempting to call past 9:00 p.m. If neither of these two cases apply, tell us at [email protected] so we can investigate further.
